What is the SSAA Standard Agreement?
The Self Storage Association of Australasia (SSAA) Standard Agreement is the standard document that all Australian storers must sign, if the storage company that they are storing with is a member of the SSAA. This document forms the general legal terms & conditions and legal contract between the storage company and their customer (who is storing goods with them).
Why would I want to make the SSAA Standard Agreement electronic?
For most facilities, the Standard Agreement is currently a paper-based document that needs to be completed by hand, and then manually re-typed into StorMan. This method takes time (due to double-entry) and may result in human error, if the storer did not use neat handwriting. By setting up the Standard Agreement as a "notice" (printable letter) in StorMan, the fields on the Standard Agreement can be automatically populated with the information that is already inside (provided by the customer). This saves time, and data only needs to be entered once.
How would I adjust my move-in procedures when using this method?
| Step 1 | Enter customer information into StorMan (asking your customer for their info along the way).

| Step 2 | Print the Standard Agreement (prefilled version) from StorMan. All the fields will be pre-filled with the customer's data automatically.

| Step 3 | The customer signs it, and you're done. |
Are there any drawbacks when using this method?
Generally no - although if your staff are slow typers, the customer may end up waiting longer using this method, than if the customer were to fill in the agreement by hand, and the staff member transpose the data into StorMan in their own time later on after the customer has left. However, if your staff are able to type fairly quickly, this method has no drawbacks.
How do I setup the SSAA Standard Agreement in StorMan?

| Step 1 | Download the SSAA Standard Agreement pack of letters from the Resources section of the SSAA website (note: you will need to login with your SSAA member number and password to download the file).

| Step 2 | Unzip the file, and extract the contents to your computer's desktop. Note: If your computer cannot open .zip files, you may need to download and install a program such as WinZIP
|

| Step 3 | Now, in StorMan, open the 'Notice Details' section via the Maintenance menu, and then Notices Details.
|
|
| Step 4 | Create a new notice by selecting the 'Add New' button at the bottom.
|
|
| Step 5 | Create a name for the notice - for example, 'SSAA SA Blank'.
|
|
| Step 6 | Set the 'Notice plan number' to be number 9. Using any other number will not work.
|
|
| Step 7 | Now, flick across to the 'Notice Design' tab (you can select the different tabs along the top).
|
|
| Step 8 | On the left, you should see a 'Letter' section. Underneath, you will see a button 'Click here to open 4D Write area'. click this button.

| Step 9 | The StorMan word processor will open. From the File menu inside the word processor, select Open.
|
|
| Step 10 | From the Open dialog, browse to and find the location where you saved the files form the zip file (in Step 2) - if you followed these instructions, this would be your Desktop folder.

| Step 11 | Select the "SSAA SA Blank.4W7" letter, and click the Open button to open it.
|
|
| Step 12 | Select File, then Return to Form to return to the notice.
|
|
| Step 13 | Click the OK button to save it.
|
|
| Step 14 | Repeat steps 4 through to step 13 again, for the other two letters. Note that although these letters will also need to be on notice plan number 9, you will need to give them different names - for example, 'SSAA SA Prefill' and 'SSAA SA Terms'. You will have now created three new notices on notice plan 9. For details on how to use these new notices with your customers, please read on below. |
How do I use my new SSAA Standard Agreement notices?

| Step 1 | After you have finished entering customer information on the Customer Agreement screens, move across to the Transactions tab.

| Step 2 | Click the 'Print Form' button at the bottom.
|
|
| Step 3 | Select the form you wish to print - in most cases, this will be 'SSAA SA Prefill'.
|
|
| Step 4 | Print the form - it should be prefilled with the customer's information.
|
|
| Step 5 | Repeat Step 2, but this time, select the Terms & Conditions document as well, which should be called 'SSAA SA Terms'.
|
|
| Step 6 | Print this form too. You're done! |
